By using the Website or our services, you consent to the collection, use and disclosure of your information as described in this Policy. If you do not agree with this Policy, please do not use the Website.
1. Information We Collect
1.1 Personal Information You Provide
When you register as a member, submit an application, book a service, hire equipment, enrol in a course, or contact us, we may collect the following categories of personal information:
- Full name, father's name and date of birth
- Email address and contact telephone number
- Postal address, taluk and district
- Educational qualifications and professional designation
- Profile photograph (optional)
- Aadhaar number and a scanned copy of your Aadhaar card for membership verification (Sensitive Personal Data or Information under the SPDI Rules)
- Bank account or UPI identifiers shared with you for refund processing (collected only when a refund is initiated)
1.2 Payment Information
All payment transactions are processed through Razorpay Software Private Limited, an authorised payment aggregator regulated by the Reserve Bank of India. We do not collect, store or have access to your debit card, credit card, UPI handle, net-banking credentials, CVV or PIN. We only receive a transaction reference number, the amount paid, and the status of the transaction from Razorpay.
1.3 Information Collected Automatically
When you visit the Website, we may automatically collect technical information such as:
- Your IP address
- Browser type and version, and operating system
- Pages visited, time spent on pages, referring URL and exit URL
- Approximate location derived from IP address
- Precise GPS location only if you explicitly grant permission (used to show you the nearest KLS centre)
1.4 Cookies and Session Storage
The Website uses essential session cookies only — for example, to keep you logged in and to protect against cross-site request forgery (CSRF). We do not use third-party advertising cookies or behavioural tracking cookies. Map tiles served by OpenStreetMap and Razorpay's checkout widget may set their own cookies as governed by their respective privacy policies.
2. How We Use Your Information
We use the information we collect for the following lawful purposes:
- Processing your membership application, verifying identity, and issuing a member ID
- Communicating with you about your membership, payments, bookings, equipment rentals and course enrolments
- Sending you membership credentials, payment receipts, and important updates via email and the member portal
- Sharing internal circulars, meeting links, training resources and other operational communications with members
- Tracking compliance with the three-month probation rules of membership
- Processing refunds (including the refundable share value of ₹1,000) where applicable
- Maintaining transparency through internal records and accounting
- Improving the Website, its content and our services
- Complying with applicable laws, regulations, and lawful requests from competent authorities
- Preventing fraud, securing our systems, and protecting our legal rights
3. Legal Basis for Processing
We process your personal information on one or more of the following legal bases:
- Consent — when you submit an application, upload your Aadhaar, or grant location access
- Contract performance — to deliver the services you have booked or paid for
- Legal obligation — to comply with tax, accounting and other statutory requirements
- Legitimate interest — to protect the security, integrity and lawful operation of the Company
4. How We Share Your Information
We do not sell, rent or trade your personal information to any third party. We share your information only with the following categories of recipients, and only to the extent necessary:
4.1 Service Providers
- Razorpay Software Private Limited — for payment processing. Razorpay receives your name, contact details and the transaction amount.
- Google LLC — for delivering email notifications through SMTP (Gmail). Recipient email address and the message contents are transmitted to Google for delivery.
- Hostinger International Ltd. — as our website hosting provider. All website data and the database are stored on Hostinger's secure servers.
- OpenStreetMap Foundation — for displaying maps. Map tiles are loaded by your browser directly from OpenStreetMap servers.
4.2 Legal and Regulatory Disclosures
We may disclose your information to law-enforcement, regulatory or government authorities when required by Indian law, court order, or in good-faith belief that such disclosure is necessary to comply with legal process, protect our rights, or prevent fraud or harm.
4.3 Business Transfers
In the event of a merger, acquisition, restructuring or sale of all or part of the Company's business, your information may be transferred to the successor entity, subject to the same level of protection set out in this Policy.
5. Data Retention
We retain your personal information for as long as your membership is active and for a reasonable period thereafter to fulfil our legal, accounting, audit and dispute-resolution obligations. Specifically:
- Active members — full personal information is retained for the duration of membership.
- Former members — basic profile and transaction records are retained for a minimum of seven (7) years after termination, as required for tax and accounting compliance.
- Aadhaar documents — securely stored and accessible only to authorised admin personnel; permanently deleted within 90 days of a written request from the member, subject to legal obligations.
- Visitor logs and activity logs — retained for up to 12 months for security and analytics purposes.
6. Data Security
We implement reasonable security practices and procedures as required by the SPDI Rules, including:
- SSL/TLS encryption (HTTPS) for all data transmitted between your browser and our servers
- Bcrypt password hashing — we never store plain-text passwords
- CSRF tokens to prevent cross-site request forgery on all forms
- Role-based access control limiting sensitive data access to authorised admin personnel only
- Regular backups and secure storage of database content
- Server-level firewalls and DDoS protection provided by the hosting infrastructure
While we strive to protect your information, no system is completely secure. You acknowledge that any transmission of information over the internet is at your own risk.
7. Your Rights
Under applicable Indian law, you have the following rights with respect to your personal information:
- Right to access — request a copy of the personal information we hold about you.
- Right to correct — ask us to correct any inaccurate or incomplete information.
- Right to withdraw consent — withdraw your consent to processing, in which case membership and related services may be discontinued.
- Right to deletion — request deletion of your personal information, subject to our legal obligation to retain certain records for accounting and audit purposes.

We may send you transactional emails (such as payment confirmations, membership updates, course enrolment confirmations) which are essential to the services you have requested. We may also send occasional informational emails about new services, courses, circulars or meetings. 10. International Data Transfers
Your information is stored primarily on servers located in India and other countries where our hosting and email partners (Hostinger, Google) operate. When data is transferred outside India, we take steps to ensure that it receives the same level of protection as required under Indian law.
