Refund & Cancellation Policy
Our commitments on cancellations, refunds, and delivery of services.
This Refund and Cancellation Policy ("Policy") applies to all payments made on the website of KLS Advisory Services LLP (LLPIN: ACO-1749) ("the Company", "we", "us" or "our"). By making a payment to the Company, you agree to be bound by this Policy.
All payments are processed through Razorpay Software Private Limited, a Reserve Bank of India authorised payment aggregator. Approved refunds are processed back to the same source from which the payment was made.
1. Membership Fees
1.1 Composition of the Membership Fee
The one-time membership fee of ₹1,500.00 comprises:
- ₹1,000.00 — refundable share value
- ₹250.00 — non-refundable membership fee
- ₹21.19 plus applicable CGST and SGST — non-refundable processing charges
1.2 Cancellation by the Member during Probation
A member may voluntarily cancel his/her membership during the three-month probation period by submitting a written request to the Company. In such a case, only the refundable share value of ₹1,000.00 shall be refunded. The membership fee, processing fee and taxes are non-refundable.
1.3 Cancellation by the Company during Probation
If the Company terminates a member's probation on account of non-compliance with the membership rules (failure to provide the required surveying assignments, equipment rental, technical task or document compilation within three months), the refundable share value of ₹1,000.00 shall be refunded to the member without any deduction.
1.4 After Confirmation as Active Member
Once a member is upgraded to "Active" status after successful completion of the probation period and verification of compliance, the membership and share value are not refundable. The member is treated as a shareholder and partner of the Company, and any exit from the Company shall be governed by the applicable provisions of the Limited Liability Partnership Act, 2008 and the Company's internal partnership rules.
1.5 Termination for Misconduct
If a member is terminated by the Company for misconduct (including but not limited to fraud, defamation of the Company, breach of conduct rules, or activities prejudicial to the interests of the Company), the Company reserves the right to forfeit the share value at its sole discretion and shall not be liable to refund any amount paid by the member. The Company further reserves the right to take legal action under applicable laws.
2. Service Bookings
2.1 Cancellation by the User
A user who has booked a service (such as a survey, layout planning, consultancy) may request cancellation as per the following schedule:
- 72 or more hours before the scheduled service date — 100% refund.
- 24 to 72 hours before the scheduled service date — 50% refund.
- Less than 24 hours before the scheduled service date — no refund.
2.2 Cancellation by the Company
If the Company is unable to fulfil a booked service (for reasons including but not limited to operational constraints, force majeure, or insufficient personnel), the user shall receive a 100% refund of the amount paid, or, at the user's option, a free rescheduling of the service.
2.3 Partial Completion of Work
If a service has been partially completed and is subsequently cancelled by the user, the Company shall be entitled to retain a pro-rata amount corresponding to the work performed, plus a 10% administration fee. The balance shall be refunded.
3. Equipment Rentals (DGPS & Other Surveying Equipment)
3.1 Cancellation Before Rental Start
Members may cancel an equipment rental booking up to 48 hours before the rental start date for a full refund. Cancellations made between 24 to 48 hours prior to start are eligible for a 50% refund. Cancellations made less than 24 hours before the rental start are not refundable.
3.2 Equipment Damage or Loss
The member is responsible for the safe handling and timely return of the rented equipment. In the event of damage other than ordinary wear and tear, the cost of repair or replacement shall be charged to the member, and the rental fee is non-refundable.
3.3 Equipment Unavailability
If the Company is unable to provide the rented equipment on the agreed-upon date, the member shall receive a full refund or may opt for an alternative date.
4. Course Enrolments
4.1 Cancellation by the Student
For training courses, the following refund schedule applies:
- Cancellation 7 or more days before the course start date — 90% refund (10% admin fee).
- Cancellation 3 to 7 days before the course start date — 50% refund.
- Cancellation after the course has started — no refund. However, the student may request a one-time transfer of enrolment to a future batch within 6 months, subject to availability.
4.2 Cancellation or Rescheduling by the Company
If the Company cancels a course due to insufficient enrolment, instructor unavailability or other reasons, the student shall receive a 100% refund or may opt to enrol in an alternative batch at no additional cost.
4.3 No Refund for Completed Courses
Once a course has been fully delivered, no refund shall be issued regardless of the student's satisfaction with the course content.
5. Refund Procedure
5.1 Initiating a Refund Request
To initiate a refund, please send a written request to karnatakalswelfare@gmail.com with:
- Your full name and member ID (if applicable)
- The transaction reference number (Razorpay Payment ID)
- The date of the transaction
- A clear description of the reason for the refund
5.2 Processing Timeline
Approved refunds are processed within 7 to 10 business days of approval. Once initiated by the Company, the refund is processed by Razorpay and typically reflects in the original payment source within an additional 5–7 business days, depending on your bank or payment method.
5.3 Refund Method
All refunds are credited back to the original payment method (UPI, debit/credit card, net banking, etc.). We do not issue refunds via cheque or to a different account.
5.4 Disputes
If you believe a refund decision was incorrect, please contact our Grievance Officer (see our Privacy Policy) within 30 days of the decision.
6. Non-Refundable Items
The following items are not refundable under any circumstances:
- The non-refundable component of the membership fee (₹250 + processing charges + GST)
- Services that have been fully delivered
- Courses that have been fully delivered
- Equipment rentals where the equipment has been used and returned in working condition
- Convenience or processing fees charged by Razorpay or banks
- Any amounts retained on account of equipment damage caused by the user
7. Shipping & Delivery of Services
KLS Advisory Services LLP is a professional services provider. We do not sell or ship any physical goods. The "delivery" of our services is governed as follows:
7.1 Digital Deliverables
Membership credentials, payment receipts, course joining details, certificates of completion, and survey reports are delivered electronically to the email address registered in your account. Digital deliverables are sent within the timelines specified below:
- Membership credentials — issued immediately upon admin approval and successful payment, typically within 1 business day.
- Payment receipts — issued automatically by Razorpay upon successful payment.
- Course joining details — emailed within 2 business days of enrolment confirmation.
- Survey reports and consultancy deliverables — delivered as per the timeline agreed upon at the time of booking.
- Certificates of course completion — issued in digital form within 15 business days of course completion, subject to fulfilment of attendance and assessment requirements.
7.2 On-Site Services
For on-site surveying and equipment-based services, the service is delivered at the location specified by the user, on the date and time mutually agreed upon at the time of booking. Travel costs to remote locations outside Davanagere district, if any, will be communicated to the user in advance and may be added to the service fee.
7.3 Equipment Pickup & Return
Equipment rented by members shall be picked up from and returned to the Company's office (or a designated centre) by the member. Pickup and return arrangements shall be confirmed at the time of booking.
8. Force Majeure
The Company shall not be liable for any failure or delay in performance, or any consequent refund obligations, in the event of force majeure circumstances including but not limited to natural disasters, epidemics, war, civil unrest, governmental action, strikes, power failures or failure of telecommunications infrastructure. In such cases, the Company shall make reasonable efforts to reschedule the service or issue a refund where appropriate.
9. Changes to This Policy
This Policy may be updated from time to time. The latest version shall be available on this page. Material changes will be notified through the member portal and registered email.
